Submitting Student Work to the Library is Easy!
The ARTchive is maintained in the library by library staff. However, the task of collecting and organizing submissions is ongoing and is the responsibility of faculty and students. At the end of every semester, faculty will submit (or direct their students to submit) digital copies of selected works from each class to the ARTchive. Work without proper documentation from any program will be rejected and returned to the faculty member.
Faculty should encourage students to document their work for their personal portfolios. An important part of building a digital portfolio is creating consistent, meaningful file names to identify when a work was created, for what class and professor, and, of course, their own name
Use the online submission form to submit digital files of works. One form is required for each student submitting up to 5 pieces.

Standards for documenting student work
When submitting student work, please keep the following criteria in mind:
- Shoot digital
- Shoot well
- Crop image in to where we see nothing but the art object if 2-D. Please use a solid background drop cloth if art object is 3-D
- Submit online documentation form for each image. The form will be used to identify the file and enable searching in the future
- Approx file size: 8 inch on the longest side, 300dpi While a number of formats can be accepted for digitalworks, photographs and photographs of works should be .tiff files
Image Submission Limit
Images should be portfolio quality and represent the best work from the class as chosen by the instructor.
Currently we ask faculty members to select a maximum of 5 examples of work per class.
File Names
Follow the simple file naming standard example provided above the field on the submission form consisting of semester, year, class abbreviation and number, first five letters of teacher name, underscore ( _ ), student’s last name followed by first initial, and image number (01-05) e.g. FA2012PHO1Paris_SmithJ01.tiff.
